Information we receive

The online admission form collects the information you provide, including identity, contact, date of birth, employment, parent or guardian, emergency contact, accommodation and background details, plus a recent passport-size photograph.

How information is used

Application information is used to assess eligibility, communicate with applicants, manage admission, arrange follow-up and support resident administration. Information is not displayed publicly.

Religion information

Where religion is requested in the admission form, it is collected only to help accommodate residents’ spiritual or dietary requirements. It will not affect admission, will not be displayed publicly and will not be used as an eligibility filter.

Sharing and protection

Form submissions generate notification emails to the authorised admissions addresses and are recorded in a restricted Google Sheet for hostel follow-up. Personal information is handled by authorised hostel or Society personnel, is not sold, and may be disclosed only where legally required or necessary to protect safety and rights. Reasonable safeguards are used, but no internet transmission is completely risk-free.

Storage and retention

Application information is retained only as long as reasonably required for admission review, resident administration, legal obligations and legitimate record-keeping. Photographs submitted online are stored privately for authorised admission review and are not published on the website.

Website analytics

The online application temporarily saves non-file form progress in the current browser tab so entries survive an accidental refresh; the passport photo, typed signature and consent choices are not stored in that draft. The draft is cleared after a successful submission or when the tab is closed. The site uses a first-party random browser identifier to count daily visitors and record aggregated page views, active time, scroll depth, repeat visits, application-page views and form starts, along with a broad device category, referral source and estimated city. The city is inferred locally from the visitor’s IP address and the raw IP address is discarded immediately; full referring URLs and typed form contents are not stored for analytics. The identifier expires after one year, and aggregated records are stored in the hostel’s Hostinger database.

External services

The site uses Google Maps for location display and Google services to deliver and record admission enquiries. Those services operate under their own privacy terms.
